Terms and Conditions for Language Tutoring


1. Introduction

These rules explain how language lessons work with James & Isabelle Webb LLP, trading as I Webb Language Services ("Tutor"). When you book a lesson, you agree to follow them.

2. What’s Included

  • The Tutor offers online and in-person language lessons for students of all levels, from beginners to advanced learners.
  • Lessons can be one-on-one or in small groups, depending on what best supports the student’s learning needs and goals.
  • Lessons are tailored to the student's learning goals, including conversational practice, exam preparation, or professional language use.
  • The Tutor will assess the student's current level and customize lesson plans accordingly to ensure effective learning.
  • Lessons will be conducted according to the agreed schedule. If the student prefers to use their own textbook, they must provide a copy to the Tutor at least one week before lessons commence.
  • The Tutor will assign homework after each session to reinforce learning and help the student practice between lessons.
  • While speaking skills are the primary focus, lessons will also cover listening, reading, writing, and grammar to ensure a well-rounded understanding of the language.

3. Booking and Payment

  • Lessons must be booked in advance and are subject to availability.
  • Payment must be made before the lesson unless otherwise agreed.
  • Accepted payment methods include bank transfer, Direct Debit or card payment.
  • If purchasing multiple lessons in a package, payment must be completed before the first session.
  • Each 1-hour lesson must be paid in full at least 48 hours before the scheduled lesson.

4. Cancelling or Rescheduling

  • You must cancel or reschedule at least 48 hours in advance.
  • If you cancel less than 48 hours before, the lesson will not be rescheduled.
  • If the Tutor cancels, a new lesson will be arranged or refunded if rescheduling is not possible.
  • If the student repeatedly cancels or reschedules lessons at short notice, the Tutor reserves the right to refuse further bookings.

5. Online Lessons

  • Online lessons will take place on [Zoom, Skype, Google Meet, etc.], as agreed upon with the student.
  • The student must ensure a stable internet connection, a working microphone and camera (if required), and a quiet space for learning.
  • If technical difficulties occur during the lesson, the Tutor may decide whether to continue or reschedule.
  • The student must log in on time; late arrivals may result in a shorter lesson with no extension.

6. In-Person Lessons

  • In-person lessons will take place at a mutually agreed location.
  • The student must arrive on time; late arrivals may result in a reduced lesson duration.
  • If lessons take place at the student’s location, they must ensure a quiet and distraction-free environment suitable for learning.
  • Any travel costs incurred by the Tutor may be discussed and agreed upon before the lessons commence.

7. Behavior Expectations

  • Both the Student and Tutor are expected to behave respectfully and professionally at all times.
  • Any inappropriate behavior, harassment, or misconduct may result in the termination of lessons without a refund.

8. Refunds and Lesson Expiry

  • Refunds are issued at the Tutor’s discretion and are not guaranteed.
  • Prepaid lesson packages must be used within 6 months from the date of purchase.
  • Unused lessons within the expiry period will not be refunded unless exceptional circumstances apply.

9. Responsibility

  • The Tutor is not responsible for any issues outside their control, including technical failures, travel disruptions, or personal emergencies.
  • The Tutor is not liable for any direct or indirect losses resulting from language lessons.
  • Learning progress depends on the student's effort, practice, and engagement in lessons and homework.

10. Privacy

  • The Tutor will keep all personal data confidential and will not share it with third parties without consent.
  • The Tutor complies with GDPR regulations and is registered with the ICO for data protection.
  • Online lessons may be recorded only if the student agrees in advance.

11. Lessons for Minors (Under 18s)

  • A parent or guardian must be present during in-person lessons.
  • For online lessons, a parent or guardian must be in the building while the lesson takes place.
  • The Tutor reserves the right to discontinue lessons if these conditions are not met.

12. Termination of Lessons

  • If the Tutor needs to permanently stop regular lessons, the student will be given a two-week notice period.
  • Lessons may be stopped immediately if the student requests it, if the student breaches these terms, or if there are reasons beyond the Tutor’s control, such as illness.

13. Changes to These Terms

The Tutor reserves the right to update these terms at any time. Any significant changes will be communicated to students in advance.

14. Legal Information

These terms follow the laws of England & Wales. Any disputes will be handled in England & Wales.

By booking a lesson, you confirm that you understand and accept these terms.
